Senior Management Team (SMT) Intern

ROLE PURPOSE: 

The role of SMT Intern will be responsible to the Country Director (CD) for providing effective clerical and administrative support services to the Senior Management team in the implementation of activities. Specific duties include preparing correspondence, record management, scheduling appointments, planning/organising meetings and conferences, writing minutes, updating related documents, briefing visitors as well as monitoring the progress of various assignments to ensure that the SMT initiatives are accomplished.

SCOPE OF ROLE:

KEY AREAS OF ACCOUNTABILITY: 

The SMT Intern will be responsible for the following:

  • Schedule appointments, screen requests for meetings, synchronize and update the CD/SMT appointments
  • Review documents, files prior to the signature of the CD/SMT
  • Oversee the proper maintenance, storage, retrieval of files and documents in order to ensure that they are accessible and secure.
  • Prepare notes, correspondence and reports as instructed
  • Organize meetings and conferences and accurately record proceedings of various deliberations.
  • Prepare pre-meeting materials and documents as requested
  • Monitor and track the progress of various assignments and regularly update the CD/SMT on organisational deadlines.
  • Collaborate with other departments/units to submit all expenses relating to CD/SMT whilst following an established expense reporting process
  • Proactively schedule internal/external meetings between the Office of the CD, SMT and other departments/outside visitors
  • Facilitate videoconference meetings with other global offices
  • Support workshops and meetings organised by the SMT members
  • Support communication and knowledge management initiatives of the country office
  • Proactively handle ad hoc requests for the CD/SMT
  • Perform any other duty as assigned by the CD
  • Ensure transparency and accountability at all levels of work
  • Ensure accountability to beneficiaries, partners and donors
  • Maintain confidentiality of privileged information obtained in the course of work

QUALIFICATIONS, EXPERIENCE AND ATTRIBUTES

Essentials:

  • Bachelor’s degree in Social Sciences, Administrative Sciences, Economics, Business or related departments
  • Excellent verbal and written communication skills in English and Turkish
  • Maintain confidentiality of privileged information obtained in the course of work
  • Must be willing to learn and adopt to new ideas, ways of working
  • Preferably previous working experience (including paid internships) in NGOs, private sector.
  • Good attention to details and to be able to work under stress
  • Computer literate (including working knowledge of Microsoft Office) and ability to do internet based research
  • Strong organisational skills and discretion with confidential information.
  • Ability to work independently and proactively
  • Proven ability to handle challenging work load
  • Excellent interpersonal skills

Position holder will be based in Istanbul, therefore legal right to work in Türkiye is necessary at the time of application.
