HR & Admin Assistant

ROLE PURPOSE: 

This role will be responsible to provide effective HR & Admin support to Istanbul Hub event management processes including but not limited to; official documents processing, admin arrangements, coordination with internal and external stakeholders, orientations and archiving. The role will also support HR & Admin Manager on daily HR & Admin Operations. Role holder will have the opportunity to be involved in a range of human resources and administration initiatives.

The role will be responsible for ensuring full compliance of the policies and procedures of these core responsibilities and implementing best practices aligned with the organizational culture.

SCOPE OF ROLE: 
Reports to: HR & Admin Manager

Staff directly reporting to this post: None.

KEY AREAS OF ACCOUNTABILITY: 

  • Act as a focal point for human resources and administration related arrangements of events conducted in Istanbul Hub
  • Maintain effective communication and coordination with relevant internal and external stakeholders
  • Support Türkiye Country Office HR & Admin department on processing of official documentation (visa invitation letters, permission letters etc.) required for events conducted in Istanbul Hub
  • Keep relevant trackers and event log sheets up to date for all events conducted in Istanbul Hub, provide instructions to event focal points on usage of such documents
  • Proactively identify support required by event focal points and contribute into facilitation of coordination at Türkiye Country Office
  • Support Istanbul Hub event participants with their business related needs
  • Establish, maintain and improve archiving structures related to Istanbul Hub taking in consideration data protection measures
  • Actively participate into preparation and execution of orientations, event agendas and extracurricular activities for events conducted in Istanbul Hub
  • Ensure administrative arrangements are planned for and executed properly at the ground for events
  • Participate into selection of Istanbul Hub related staff or contracted personnel as necessary
  • Support Supply Chain department on management of Istanbul Hub related assets, ensure they are working properly and comply with health and safety regulations, follow-up with maintenance where necessary
  • Liaising and coordinating with relevant local authorities or service providers on Istanbul Hub related matters, when needed
  • Support Safety & Security department with their assessments involving Human Resources & Administration
  • Participate into Safeguarding and Safety & Security related risk assessments for events when needed
  • Closely collaborate with Türkiye Country Office administration team for issuance and collection of communication lines, ensure proper trackers are in place, carry out tariff changes and follow-up overuse of packages where needed
  • Contribute into effectiveness analysis studies for Istanbul Hub, provide specific input related to own work area
  • Identify needs of consumables, visibility and stationary for Istanbul Hub, track consumption trends and ensure efficiency of existing stocks
  • Support Supply Chain department on establishment, maintenance, renewal and termination of service contracts and framework agreements related to Istanbul Hub
  • Provide generalist HR & Admin support to Istanbul Hub related staff of Türkiye Country Office
  • Support Türkiye Country Office HR & Admin department with any other human resources & administration related task
  • Perform any other reasonable task assigned by line manager or the designate

QUALIFICATIONS, EXPERIENCE AND ATTRIBUTES

Essential

  • A Bachelor’s degree in Business Administration or any other relevant discipline
  • Minimum one (1) year of relevant working experience
  • Strong communication (written and spoken), and interpersonal skills in English and Turkish, with experience in working with multicultural teams
  • Ability to build relationships quickly with a wide variety of people, both internally and externally
  • Demonstrated excellent skills in planning, coordination, and reporting skills, with the ability to organise a substantial workload comprised of complex, diverse tasks and responsibilities;
  • Proven operational HR or Admin experience of providing a generalist HR and Admin service to staff and colleagues across a full range of HR and Admin issues
  • Excellent attention to detail and accuracy.
  • Good Computer skills working with MS Office Packages especially Word, Excel and Powerpoint and OutlookAbility to work with limited supervision and strong ability to take initiative.
  • Good facilitation skills and ability to deliver induction briefing/training
  • Able to work to tight deadlines and under pressure.
  • Excellent team player.
    Desired
  • HR & Administration experience in INGOs
  • Extensive knowledge of relevant local legislation, regulations and issues concerning civil society in Türkiye

Position holder will be based in Istanbul, therefore legal right to work in Türkiye is necessary at the time of application.
